Performing Document Reviews for New Revision

Overview

Document Owners can pick up and perform scheduled periodic reviews for Controlled Documents in CQ. Periodic reviews are critical for ensuring that documents remain accurate, effective, and compliant with organizational and regulatory requirements.

As part of the review process, Document Owners evaluate whether the document is still valid. If it is determined that the document is no longer effective and requires changes, the owner will assign a decision of New Revision. This action initiates the revision process to update the document and maintain its relevance and accuracy.

Prerequisites


Available in: Controlled Documents

Installed Package: CQ Core - Winter 2025

Optional Extension Packages: CQ Forms, CQ Laboratory Issues, CQ Process, and CQ EHS - Winter 2025

User Profile: Standard User

Permissions: CQ Base User PSG and CQ Document Owner PSG

Document Status: Draft, Pre-release, or Current


Instructions

  1. From the Controlled Document record, select the Review option from the Action Menu.

  2. Select Revise from the Review Decision.

  3. Select a new Template to use if the previous Template will not be applied. This field is usually left as is.

  4. The New Revision defaults to the next sequential revision number; leave as is.

  5. Enter Performed Date. If applicable, enter or select an alternate Performed Date.

  6. If needed, select the Reviewer in the Performed By field. Defaults to the User performing the review.

  7. Enter a Review Comment (recommended).

  8. The Change Scope defaults to Major Change. If applicable, enter or select an alternate Change Scope option. These Changes will display under the Detail tab of the New Revision.

  9. Enter the description of Changes (recommended) for the New Revision. These Changes will display under the Detail tab of the New Revision.

  10. Enter Comment and Password if required for eSignature Policies.

  1. Click the Save button.

Results

  • The new revision of the Controlled Document has been created and assigned a unique number.

  • The new revision of the Controlled Document is in a Draft Document Status and Draft Stage.

  • The reviewed Controlled Document remains in its Current Status until the new revision Controlled Document has been approved and released.

  • In the new Revision of the Controlled Document record, History tab, Revision History section, the Revision number link of the Reviewed Controlled Document record displays.

  • In the Controlled Document record, Related List Quick Links section, Document Reviews link, the Review activity is listed and can be viewed by selecting the Document Review Number link.

  • Reviewing Record activity is logged in the Controlled Document Record Activities section under the History tab.
